I. Open Meeting: The meeting was called to order at 5:05pm. Minutes from the meeting on December 11, 2000 were approved without changes.

II. Continuing Business:

(A) Financial Report Marcie Larsen, Treasurer, reported that the SATCO financial situation is as follows: -Balance in Bank of America $2,047.49 (of these, $1,060.00 is designated for the Scholarship Fund and is restricted) -Producer Level Membership Fee $ 150.00

Total= $2,197.49

(B) Development Committee Report This subject was tabled due to no representative from the committee being present.

(C) Steering Committee Report This subject was tabled as well. Laurie Dietrich feels that this should be part of the Development Committee.

(D) Communications Report
--E-Auditions, Ayn Phillips reported that concerning the 'want ads' in the audition notice, she's getting mostly calls from non-SATCO members. She put the question to the panel as to whether she really should allow this. Laurie Dietrich told her to go ahead as long as they pay the non-member advertising fee. Ayn also brought up the subject of not getting enough submissions for the 'Raising the Bar' section of the Notice. Please, feel free to write in any advice or comments you might have.
--Playbill, This was tabled due to no representative being present.
--Hotline, Laurie Dietrich led the discussion. It included the fact that we've been unsuccessful in looking for a less expensive way to keep the SATCO Hotline Voicemail System running. Right now, Shoestring Shakespeare Co. is footing the bill. Joe Libby mentioned his personal business phone co. might be cheaper than SW Bell, so he'll check into it. The main thing that needs to be done with the Hotline is to get it publicized. Bob Flaugher and Frank Williams have volunteered to research on how to do that. By the way, the Hotline number is 351-0315. Let's encourage people to use it for theatre information. It's the perfect way for visitors and non-email people to get information about local theatre productions.
--Newsletter, Kathleen Lovejoy reported that the next deadline for submissions is at the March 12th SATCO meeting. The newsletter will be coming out in April. Kathleen also discussed that she would rather have a SATCO flyer in the theatres for patron information than the newsletter. This was pretty much agreed around the panel and will be discussed further at the next meeting.
--Website, Bob Flaugher reported that over 700 hits have been made to the website since its induction in September, 2000. Bob and Chris Champlin will be taking digital photos of the front of theatres for the website. As far as the database is concerned, Bob feels that, at this time, we should try to get a disk for each Producer Level Theatre so that the information from the City-Wide Auditions would be readily available. This topic will be further discussed at a later date.

III. Old Business:

(A) Shared Ad Program Report Laurie Dietrich reported that everything is ready to go for the first SATCO Shared Advertisement. It turns out that it will be less expensive than originally thought: needed are 8 minimum Producer Level Members at $55.00 a month. Not bad! The problem; some Producer Members have yet to pay for the space they've 'bought'. Laurie Dietrich will be emailing these theatres to inform them of the pay deadline, which she has determined to be a couple of days before the copy is due to the Express-News. So please, send those payments in!

**Special Note** Ayn Phillips mentioned that if no notification has been made to her about Producer Level Members sending in their membership fee, which is $150.00 for one year, by February 1st, they will not be allowed to advertise in the E-Auditions until payment is made.

(B) Economic Impact Project Report David Johnson reported that he would like to put together a survey for theatres to fill out, asking about their financial status and how they contribute to the community. He posed the question: Would theatres want to be anonymous about their finances? Most agreed that it should be at the theatres discretion has to whether or not to post their name on a survey. David also asked for advice as to what sort of questions should be asked on such a survey. Frank Williams has volunteered to help out. It was discussed that we should have a separate committee for grants. Bob Flaugher, Mellissa Marlowe, Chris Champlin, Marcie Larsen and Frank Williams volunteered to research this project.

(B) Community Cast Party Report The next party is scheduled to be on January 28, 2001, but since no one has been able to work on this project due to the hectic holiday season, no plans have been made as to when or where it will take place. Therefore, Joe Libby has volunteered to bring it to fruition. Since his time of meeting the January 28th deadline is coming up quick, it may be postponed. We'll keep you updated.

**Special Note** Marcie Larsen mentioned that Speech Arts of SA and SATCO are getting ready to judge for the arts competition, in which the winner will get the scholarship that SATCO offers. Marcie Larsen, David Johnson and John Poole have volunteered to be judges.

I. Open Meeting: The meeting was called to order at 5:00pm. Minutes from the meeting on January 8, 2000 were approved without changes.

***Due to time commitments, Carol Sowa, our guest speaker from the BEST READ GUIDE, talked about her company. Carol Sowa is the office manager for the BEST READ GUIDE, now the largest tourist publication in San Antonio, with a circulation of one million yearly. They would like to extend a special offer to SATCO. This would consist of a special page/pages devoted exclusively to member theatres of SATCO. Advertising with them would include placement on their handy locator maps and website, plus the option of coupons on their coupon pages. A 1/4(?) page ad would cost $275.00 for each theatre. A 1/8 page ad would cost $137.50 for each theatre. They are a monthly publication that prints 2 different issues at a time. If SATCO were to consider this advertising choice, the next deadline attainable for us would be April 17 for the June/July issues. Nothing was agreed upon, but this option is open to us if needed.

II. Continuing Business:

(A) Financial Report Marcie Larsen, Treasurer, reported that the SATCO financial situation is as follows: Balance in Bank of America $4,600.00 (of these, $1,060.00 is designated for the Scholarship Fund and is restricted)

Joint Advertising Received $ 880.00 New Ind. Membership Fee $ 50.00 received

Total of unrestricted funds= $2,205.00

(B) Communications Report

E-Auditions, Since our representative was not present, this subject was tabled.

Hotline, Frank Williams and Robert Flaugher are looking into less expensive options. Frank suggested getting an 800 number, but Rick Malone pointed out that the subscriber gets charged per minute when the number is being called. Frank also suggested the possibility of getting the number into such community magazines as Rio, Rio and Guest Informant, which are distributed to hotels. More on this subject at the next meeting.

Newsletter, Kathleen Lovejoy reported that the next deadline for submissions is at the March 12th SATCO meeting. No other reports were made.

Flyer, Cheryl Ashner, an ad designer, has been doing some research into getting us a better looking flyer. So far, the price quotes she has received are as follows:

To print 5,000 flyers on plain white paper would cost $658.00 color paper would cost $758.00 To print 7,500 flyers on plain white paper would cost $860.00 color paper would cost $990.00 To print 10,000 flyers on plain white paper would cost $1,048.00 color paper would cost $1,200.00

Cheryl also suggested putting the flyers in travel agencies. If anyone has any suggestions concerning the design of the flyer, please contact Cheryl Ashner by email at chernval@***. Kathleen Lovejoy also mentioned that if theatre producers wish to advertise in the flyer, their dues and copy must be in by March 1.

Website, Bob Flaugher reported that he will update the website as soon as the SATCO members list is updated.

(C) Committee Reports

Development, No representative was present for this discussion.

Events, Joe Libby gave a report on the Community Cast Party. It was scheduled for Sunday, Feb. 18 at the Barbed Wire Grill from 5-8pm. I hope everything went well. Sorry for the late notice, but it has been advertised in the E-Auditions and the Playbill. Hope you were able to attend.

Scholarship, Marcie Larsen reported that the committee will be looking for grants to make the scholarships that are offered bigger and worth more, money-wise.

PR, Sterling Houston commented on how good the first joint ad campaign looked in the first Friday Weekender in the Express-News. Hopefully, this will continue. Chris Champlin did suggest, though, that the phone numbers be placed at the bottom of the ads.

Membership, Kathleen Lovejoy reported that we have 52 Individual Level Members and only 7 Producer Level Members. If you would like to benefit from the services SATCO offers, you must submit the producer level fee of only $150.00. Contact Kathleen Lovejoy at boat44@*** for further details.

Grants, Robert Flaugher, Chris Champlin and Mellissa Marlowe (not present), discussed areas of interest for grants at the grants meeting that took place on Feb. 9. Marcie Larsen found a place, but it needs to be cleaned up. It also needs a few office items, such as a/c, a desk, chairs and light. David Johnson has a computer to donate - thank you. Grants that are going to be considered are (1) workshops, (2) scholarships, (3) media communications, and (4) strategic plan development. The next grant committee meeting will be Wednesday, Feb. 28 from 3-4pm at Alamo Street Theatre.

(D) Program Reports

City-Wide Auditions, No Representative was present for discussion.

Workshops/Classes, Les Steubing reported that Ken Frazier from the Vexler Theatre has agreed to Sunday, March 11 for the first workshop. Suggestions for subject matter are needed. Question as to whether or not to charge a nominal fee. For suggestions please contact Les Steubing at racttwo@***.

(E) Project Reports

Economic Impact, David Johnson announced that he has set up a meeting place for anyone that is interested. Please go to the Central Library on Wednesday, Feb. 21 at about 5pm. For more information, contact David at davidjohnson1@***.

(A) New ATAC Liaison Diane Malone has volunteered to be the ATAC/SATCO Liaison. If you have any suggestions or comments, please contact Diane at dianmalone@***.

**Marcie Larsen reported that if there be not enough theatres to fill the joint ad space, she and Deborah Latham, from Alamo Street, will fill it. After all, we only need a minimum of 8 theatres to participate.

**Diana Brown, Playbill Mistress, reported that there is a downloadable program insert, pertaining to SATCO, on the Playbill if anyone is interested.

--Hotline, Robert Flaugher is having trouble getting through to anyone at channel 20 for advertisement possibilities. Frank Williams mentioned that we do have a PSA running on Channel 41. He also mentioned that he spoke to Rio Magazine and they will be sending information on how to advertise with them. He spoke with Guest Informant as well, but they are too expensive.
--Newsletter, Kathleen Lovejoy reported that the deadline for submissions was at today's meeting. She has plenty of information to work with.
--Flyer, Cheryl Flashner brought in a rough copy of the new flyer; with maps and all. It looked pretty good for a rough draft. --Events, Joe Libby gave a report on the Community Cast Party. He said it went great! We ended up having 48 old and new individual members joining in the celebration. WOW!!

--Membership, Kathleen Lovejoy reported that we now have 73 Individual Level Members and if all the fees are turned in, we'll have 20 Producer Level Members. She also mentioned that we have a new theatre company, who joined at the Community Cast Party. Their name is The Renaissance Guild and they are headed by Latrelle Bright.
--Grants, It was mentioned that the committee will be joining non-profit resource center for more information. Frank Williams will be taking a grant writing class.

(D) Program Reports
--City-Wide Auditions, Ayn Phillips reported that we need someone to be in charge of the City-Wide auditions, scheduling, organizing, etc. Ayn said she will put a listing in the E-Auditions under "Want Ads".
--Joint Advertising, Laurie Dietrich mentioned that we now have a contract for this. Suggested were incentives to get theatres to pay for a full year. Main incentive would be if contract was paid in full, it would only cost $58 a month, whereas if paid only on a monthly basis, the monthly fee would be more. This incentive was agreed upon. The deadline for payment/copy on ad has already expired. Hopefully, if you missed it, you'll get in next time. Workshops/Classes, Les Steubing reported that the workshop given by Ken Frazier went well. They had 28 people attend. The next workshop will be with Tom Balmos on April 14. It will be limited to 14 per class, and as of the meeting, he already had 4 reservations. Possible class subjects are: voice/diction, dialects, stage combat, play analysis, technical, and techniques.

(E) Project Reports
--Economic Impact, Frank Williams reported that David Johnson will be sending a rough draft of a theatre survey to theatres for review.

III. Old Business:

(A) Best Read Guide Discussion Laurie Dietrich reported that there didn't seem to be much interest in advertising in this particular venue. Too expensive.

IV. New Business:

(A) Public Access Advertising Frank Williams reported that he has spoken with Frank Medoza of Public Access. He has received information on the classes that need to be taken, such as camera work. The time for ad space is free and we would have to make at least 4 episodes. Frank will be delving more into this.

V. Announcements:

(B) Communications Report
--E-Auditions, Ayn Phillips mentioned that she had an outside theatre company wanting to advertise their auditions in the audition notice. Since they are not a SATCO member, but are doing some performances at the Josephine Theatre, Ayn wondered whether or not she should include them in the audition notice. It was agreed upon that the only way they could get their auditions listed is if the request comes from Josephine Theatre. Ayn will be trying to get a confirmation from the Josephine Theatre.
--Hotline, Robert Flaugher was not present for discussion.
--Website, Frank Williams asked whether SATCO would be willing to pay to publicize the Hotline/Website in certain publications? The general answer was no. We'd rather try to do PSA's for these.
--Newsletter, Kathleen Lovejoy brought them in. They will be mailed out to the members who were not able to attend the meeting.
--Brochure, Ayn Phillips brought in the brochures for Cheryl Flashner, who was not present. They are similar in style to the library brochures and look really good. Due to some errors in theatre location placements on the map, Producer Level Members who submitted information for the brochure are obliged to confirm with Cheryl for the correct information. Her email address is Flashnerc@***. We will be printing 5,000 brochures, and because of a generous donation from Ayn Phillips and members of her family, SATCO will only have to pay $150.00 for the printing of the brochures. Thank you, Ayn!

(C) Committee Reports
--Development, Sterling Houston reported that Richard Rosen, committee chairperson, has selected members to serve on this committee, and a meeting is being scheduled.
--Events, Community Cast Party, We still have no chairperson for this committee. It will include responsibility for the Gala as well. Anyone interested??
--Scholarship, Marcie Larsen reported that another fund-raising event needs to be planned to raise more money for the scholarship fund. More on this at a future date.
--PR, No report.
--Membership, Kathleen Lovejoy reported that our Individual Memberships have brought in $1,960.00. We now have 83 Individual Level Members and 23 Producer Level Members. If you would like to join SATCO the Individual Level Membership fee is $25.00 and the Producer Level Membership fee is $150.00. For more information contact Kathlenn Lovejoy at boat44@***.
--Grants, Frank Williams has taken a grant writing class. He discovered that there's more to grant writing than he originally anticipated. A lot of research needs to be done. Diane Malone suggested doing a high-level membership campaign i.e., the membership drives that KLRN, KPAC and KSTX do. Sterling Houston suggested possibly going in with another non-profit organization when applying for grants. These subjects will be further discussed at a later date.

(D) Program Reports
--City-Wide Auditions, Laurie Dietrich announced that 3 volunteers have come forward to chair the auditions. If anyone else is interested, please contact Laurie at shoebard@***.
--Joint Advertising, Laurie Dietrich mentioned that we have only 4 contracts in from Producer Level Members. Let's get those contracts sent in so that you can take part in this wonderful ad space every month.
--Workshops/Classes, Les Steubing was not present, but it was mentioned that we still need people to sign up for the classes given by Tom Balmos for film and TV. Remember, they will be limited to only 14 per class, so make your reservations today. Contact Les Steubing at racttwo@*** to make your reservations or for more information. Ayn Phillips also mentioned that Vivienne Elborne from San Pedro Playhouse is interested in teaching a workshop on how to audition for musical theatre. Thank you, Vivienne.

--Economic Impact, David Johnson will be sending a rough draft of a theatre survey to theatres for review very soon. It's almost finished.

(A) Best Read Guide Discussion Laurie Dietrich pointed out that the BEST READ GUIDE is now listing live theatres. Their original offer of a SATCO page still stands, if enough theatres are interested, and they can offer individual theatres a reduced rate of $325.00/month per quarter-page ad with a minimum 2-month commitment. IV. New Business:

(A) Public Access Advertising Ruth Lown, SATCO's legal adviser, reported that, due to Time Warner Cable's contract, as it stands, we cannot do commercial advertisements. What needs to be discussed is if running excerpts from local plays would constitute commercial advertisement. The subject of copyright infringement if we run excerpts form copyrighted shows is an issue that will have to be dealt with on a show-to-show basis. Frank Williams and Chris Champlin will be delving more into this.

(B) Nomination Committee Laurie Dietrich announced that a nominating committee needs to be formed in order to vote on committee chairpeople, especially President of SATCO, since Laurie will be stepping down after this year. This will be discussed at a further date.

(C) ATAC Diane Malone, ATAC/SATCO Liaison, has reported that the ATAC Board has chosen September 30, 2001 as the next Globe Awards Ceremony. It will, again, be at the Doubletree Hotel and will have the same format as last year, having more than one person/company being recognized in a single category.

--Website, Robert Flaugher announced that, due to wanting to pursue a business degree, he will no longer be able to run the website. Bob asked if anyone was willing to take on the task. Diana Brown, Playbill creator, stepped up to help out.
--Brochure, Cheryl Flashner, brochure designer, reported that the brochure is just about ready for printing. Marcie Larsen suggested setting up a small meeting to view the draft of the brochure before it goes to the printers. (C) Committee Reports
--Development, Laurie Dietrich reported that the chair for this committee is up for grabs. Mellissa Marlowe asked why there were so many separate committees for the same sort of development. The answer being that, because the previous chairperson did not want to deal with the financial aspects of development, SATCO formed a separate Grants Committee. Now that we are looking for a new chairperson, it was suggested by Marcie Larsen, to abandon the Development Committee and change it to the Strategic Planning Committee, which would be combined with the Grants Committee. This was agreed upon. --Scholarship, Kathleen Lovejoy, who sits on the board of the Speech Arts Association, reported that they are planning to place restrictions on subject matter for their Speech Arts Scholarship Competition. Apparently, several students chose the same morbid piece, which was hard for the judges to watch. Since SATCO chooses our scholarship winner from the same competition, it was asked if we still would want to be affiliated with them if they do decide to go ahead with the restrictions. The general response was no. Once this is thoroughly checked out, follow-up information will be sent out.

She was upset to notice that these theatres had nothing in their programs, or displayed anywhere, about SATCO.

--Scholarship, Diane Malone, who is on the board of the Speech Arts Association, read a letter from the Chairperson of the Board of Speech Arts, pertaining to their recent restrictions. The letter stated that their are to be no duplicates of presentations and no morbid subjects, such as dying of certain diseases, etc. The Scholarship Committee will meet to determine what SATCO's response to the restrictions will be, if any.

--Grants, No report and still needed is a chairperson. This committee could even be expanded to include Fundraising.
--Nomination Committee, Chris Champlin reported that the recommended slate of officers for election at the September meeting, with terms to begin in January 2002 are as follows: Joe Libby (President), Frank Williams (Vice President-Development/Strategic Planning), Ayn Phillips (Vice President-Production/Events), Marcie Larsen (Treasurer), and Diana Brown (Secretary). The by-laws call for the Board of Directors (slate to come from the Nomination Committee) to be voted on by all members actually attending the meeting in September, and then the Board will elect the officers.

(D) Program Reports
--City-Wide Auditions, No report.
--Joint Advertising, Since Penny Swindel was not able to attend for a feedback discussion, no report was made.
--Workshops/Classes, Les Steubing made no report. We are still looking for ideas for more SATCO workshops and/or classes. If you have suggestions or have something you'd be willing to teach, please contact Les Steubing, coordinator, at racttwo@***. Lorenzo Martinez of the Actors of Clower Theatre, mentioned that they are having an audition/acting workshop on June 23. Cost is $5.00. (E) Project Reports
--Economic Impact, Laurie Dietrich reported that the survey is complete. We need someone (or a group of someones) to oversee distributing the questionnaire and tabulating the results. It's a good survey and should provide us all with some valuable information about the economic impact of theatre in SA; which is useful in obtaining grants!

III. New Business:

(A) ATAC Diane Malone asked, once again, if any of the present Producer Level Members would be interested in sitting on the ATAC Non-voting Advisory Board. She still has had no response from anyone. For more information, please contact Diane Malone at dianmalone@***. Also, Diane asked Diana Brown, Playbill and Website Coordinator, if it would be possible to have a link to the ATAC website place on the SATCO website. Nobody saw any problems with that.

(B) Events Cheryl Flashner reported that it still is possible to have the next SATCO Community Cast Party at the JCC. The restrictions would be that the food would have to be kosher and cooked on a grill. Cheryl also reported that Jo Grabow would be willing to have it at her personal residence. Sunday, July 22, in the evening, is a possible time. This will be discuss at a later date.

(C) Fundraising Guest speaker Amy Rabold introduced herself. She has been involved with fundraising at her children's schools. These are some of her ideas: silent auction, possibly in conjunction with the premiere of the Gilbert and Sullivan Group, being created by Diane Malone and Joe Libby - a masked gala - craft sales - a fall theatre showcase. Lorenzo Martinez suggested a casino party. Amy's fees would be $75 up-front and 10% of the profits. Marcie Larsen suggested waiting on deciding what kind of fundraiser to do until we decide what the money will be used for. She would like to use it for scholarships. The Events and Scholarship Committees will meet to further discuss the prospect of holding a fundraiser to benefit the Scholarship Fund and of having Amy put it together.

IV. Old Business:

(A) SATCO Guide Cheryl Flashner reported that the latest updating of our brochure on theatre in SA is printed and ready for distribution. We need people to help distribute them to hotels, the Convention & Visitors Bureau, and to member theatres. Contact Laurie Dietrich at shoebard@*** if you can help.

(B) E-Services Laurie Dietrich suggested that we might be able to get an underwriter for a mass printing of program inserts or printing and preparation of posters for the lobbies of theatres mentioning the SATCO website and e-services so that it wouldn't be the responsibility of each individual theatre.

--Website - Diana Brown, reported that there were 75 hits the day after Jeanne Jakle's article on Ayn Phillips and her son, author of "Dude, Where's my Car" came out. Ms. Jakle also mentioned SATCO and the website. This was up from a high of 54.

(C) Committee Reports
--Development - Still no chairperson and no report.
--Scholarship - Laurie brought up the Speech Arts Censorship issue. Marcie has been assured by Millie Scott, SAASA President, that there will be no content-based censorship of monologues. Contestants will be urged to choose appropriate selections and informed that duplication will not be allowed ("first come first served"). Based on Marci's findings, we will continue our association with Speech Arts. The next meeting will be 5:00 p.m. on August 20 at Alamo Street Theatre to discuss the Technical Theatre Scholarship. The Scholarship Committee would like a theatre (preferably SPP or Vexler) to volunteer to host and promote a Silent Auction in conjunction with an opening night performance early in 2002 to raise money for the Scholarship Fund.
--PR - Sterling Houston reported that Houston, Texas is forming an organization like SATCO and we and ACOT are being used as a model. It was mentioned that when they were doing their research, they were very impressed with the amount of things we got done on our limited budget. Sterling proposed to draft a letter of Dan McLaughlin's participation in SATCO and Theatre to be published. Approved.
--Membership - 88 individual members. Kathleen proposed that the Callboard be converted to an electronic newsletter. Feedback from the table was mostly positive. There are two non-computer people in our membership, the Callboard would be printed and mailed to them at Kathleen's expense.
--Grants - No report and still needed is a chairperson. This committee could even be expanded to include Fundraising.
--Nomination Committee - Chris Champlin reported that our bylaws state we could have up to 15 Board members. If three consecutive meetings are missed, you can no longer be on the board. Those interested in a Board Member position, please contact Chris.

(D) Program Reports
--City-Wide Auditions - The question was raised if the City Wide Audition was really useful? General consensus from those present was yes, very useful. If not selected from Audition itself, auditioners were remembered for future performances. Good publicity for SATCO, looks good on Grant Proposals. It was proposed that the pictures from 2000 Auditions be posted on the website, with name only. (This has been accomplished.) Password protected database access through website is still being looked into. Annie Edwards reported that this year's auditions are set for August 11 at the Stephen Stoli Playhouse. 9:00 a.m. to 5:00 p.m. Volunteers are needed to provide donuts, and to help out on the day. Chris Champlin will donate the coffee.
--Joint Advertising - Laurie Dietrich reported that she will no longer be nice. She has not been getting copy from some theatres until three or four days after the deadline. Until now she has been making calls and letting the deadline be flexible, but beginning in August, that will cease. If you do not have both your copy and your money in by the deadline, you will not be included in the Joint Advertising.
--Workshops/Classes - Les Steubing made no report. We are still looking for ideas for more SATCO workshops and/or classes. If you have suggestions or have something you'd be willing to teach, please contact Les Steubing, coordinator, at racttwo@***.

(A) SATCO Guide Need to begin distribution of brochures. Cheryl Flashner reported that copies were mailed to the Tourist Bureau. Amy Rabold, Ayn Phillips, and Chris Champlin volunteered to deliver in person.

(B) E-Services Please put us in your programs. Chris Champlin mentioned that the Harlequin dedicates a page in all of their programs to a list of the other theatres in San Antonio. This is a show of solidarity, and it would be nice if all other SATCO theatres would do the same.

V. Announcements:

Laurie Dietrich proposed a fund to help Dan McLaughlin's family with the funeral costs, etc.

She also proposed a fund to assist working actors in the community with financial needs such as medical costs. She mentioned Maria Ibarra who is battling cancer. She and her husband are trying to raise their child and make a living by acting in San Antonio. The Membership would propose and discuss recipients. Approved.

Please continue to send any and all information, updates, changes, etc., so she can keep these sites current. Many other publications take some or all of their information from our sites.
3) Hotline: $60/month, paid by Laurie Dietrich. That will end January 2002. Need some other way or let it go? Discussion: good for those without computers. Research alternates on voice mail, Call Notes. Diana Brown will research.
4) Callboard: Is now online publication with print version for those members without computers.

1) Strategic Planning/Grants: Documents re: procedure gathered by Frank Williams. He will organize goals and submit to SATCO. Lawrence Coop and Sherry Truitt volunteered to work on Grant Committee. Need a chairperson. Have Express News been sponsors? Don't want to give money, but willing to give free ads. Amy Rabold volunteered to be chairperson. Diane Malone will make request of Express News. Laurie Dietrich to discuss with Sterling Houston last year's procedure.
2) Scholarship: Agreed to participate with Speech Arts. Need three person committee. Next week is official first meeting of Scholarship Committee. Please bring ideas, examples, of tech scholarship. Question was raised: "What is scholarship?" The money goes to the school. Must major in arts. Goes to registrar in students name to pay for books, etc.
3) PR: No report
4) Membership: No report. Discussed the "drop dead" deadline for membership dues. Ayn Phillips recommended Jan 1 or Jan 31. SATCO Guide and Lobby Posters need deadline so that all current members will be included in those publications for the year. It was resolved that the deadline for membership dues to be received is January 1.
Question was raised: "Can Producer Level Members be invoiced?" and then "when should they go out and should they be mailed or e-mailed. Discussed. It was agreed that invoices will go out November 1 regular mail (or both).
5) Nomination Committee: Will be sending Board of Directors slate by e-mail to be voted on in September.
6) Events - Cast Party: Was great. Thank you Linda Kaufman, for the use of your beautiful house. Thank you Barnes and Noble for the door prizes. Thank you Cheryl for organizing.

d) Program Reports

1) City Wide Auditions: Ten theatres sent representatives. 50 people auditioned. Everything went smoothly, flowed nicely. Thank you to Annie Edwards for organization. Suggestions for small improvements were received. Annie to organize again next year. Marcia Larsen volunteered the use of Alamo Street Theatre for next year's event.
2) Joint Advertisement: Doing great. Harlequin is getting calls from other publications asking "Why don't you advertise with us." The Contract is up for renewal soon. Laurie Dietrich will continue to administer.
3) Workshop/Classes: Les Stuebing announced that Flo Bunten would be conducting a Human Relations workshop on August 18. Ken Frazier may do a workshop on Auditions soon. Coming in November, Sydney Burnett to conduct workshop on why actors sabotage themselves.
4) Public Access TV: Shelved for the moment to concentrate on Grants.

e) Project Reports - Economic Impact: Survey is in the field and should be back soon. Latrelle Bright to crunch the numbers and get us a report.

a) TNT: Patty Loftis not present. Marcia Larsen moved to join. Ayn Phillips seconded. Marcia will send $40 for Group membership. We qualify and are able to take advantage of many services TNT Provides. Di Ann Sneed, Vice President of her Quad, reported that theatre members are not as active as we would like. S.T.A.G.E. very active, San Pedro Playhouse is hosting play fest this year.

IV. Old Business:

a) E-Services: Theatres will be getting e-mail regarding Lobby Posters. Will identify theatre as SATCO member, and include website information, list of other member theatres, small display with business cards. Free to theaters. Robin Early has donated frames. Laurie reported that most theatres expressed interest / would display. Witte can't, no area for display. Harlequin and Vexler will.

b) Theatre at Barnes and Noble: Marcia Larsen maintains the calendar. Please contact her to schedule the date for your theatre to perform. Upcoming Dates are September 12, 2001, October 17, 2001, November 14, 2001, and December 19, 2001. There was some discussion of the fact that rights agreements will generally not cover the performance of copyrighted pieces for this program. SATCO will have an indemnity agreement drawn up to protect itself from any issues arising if a participating theatre fails to secure the necessary rights.

c) Compassionate Funds: President Laurie Dietrich announced that a donation of $250 was made by SATCO to the Magik Theatre to assist them with expenses accrued due to the passing of Dan McLaughlin. A Thank You note from Richard Rosen was circulated.

Mellissa Marlowe reported that the fund for Maria Ibarra has not yet been established, as there are legal complications. Investigation of how best to establish the fund so that the proper parties benefit is ongoing.

d) Brochure Distribution: Ayn Phillips and Marty Kushner will attend the Concierge Association meeting on the 29th of August to distribute our SATCO Guide brochures. Chris Champlin has distributed them to B&Bs and Ken Frazier has covered the hotels on the North side of town. We still need volunteers to distribute to the downtown hotels, and we continue to urge our member theatres to display them and take them to local merchants or organizations they feel would be supportive.

V. Announcements:

a) Di Ann Sneed announced that Sarita Bradley is recovering from surgery and people can send cards or wishes to her in care of the San Pedro Playhouse.

b) Chris Champlin announced BUS STOP (opening August 22) and SEE HOW THEY RUN (Auditions to be held August 20, to open October 3)

c) Laurie Dietrich announced upcoming SSC auditions, info on website (http://www.shoestring.nethop.com/)

d) Introduction by new members Marty & Ricki Kushner.

VI. Set Next Meeting:

a) The next meeting will be the Annual Meeting at which the Board of Directors will be elected for 2002. The meeting will take place upstairs in the Alamo Street Theatre at 6pm on Monday, September 10. A reception will follow downstairs in the restaurant.

I. Open Meeting:
a) The meeting was called to order at 5:00pm. Minutes from the meeting on September 10, 2001 were approved without changes.

II. Continuing Business

a) Financial Report

Diana is not to be trusted. She must be watched at all times. Check your listings as often as you can. She makes booboos. And the more information you can give, the more interest you generate among our readers and their friends.
--Hotline (Laurie Dietrich): Possible alternative, web based service Ureach at $7.00 per month.
--Callboard (Kathleen Lovejoy): No report. Question was raised, how often is Callboard published? It will still be Quarterly, as far as is known, even now that it is online. Diane commented "Great Job."

c) Committees
--Strategic Planning (Frank Williams): Goals have been identified and Frank is still working. Producer's Meeting: Stoli has offered use of his conference room, possibly to meet in November to discuss how we are or are not meeting needs.
--Grants Committee (General Discussion): No chair at time of meeting. Several great opportunities out there. Nov. 1 is a free Grant Writing seminar, Marty Kushner gave us a copy of one that he did to use as a template. Question was raised, what do we need grants for: Possibly scholarship, administrator, office, staff, Hotline, updating brochure, etc., upgrading existing services, free up our funds to do more, retreat. Anyone have any ideas for a chair for this committee. Diane Malone suggested Marty Kushner. After the meeting it was finalized that Marty Kushner and Diane Malone will co-chair.
--Scholarship (Marcia Larsen): Rick Malone is in charge of the Technical Scholarship. A letter will be sent to school districts introducing the 2002 Technical Scholarship (see www.satheatre.com, scholarships). Possibly coordinate with speech arts for additional mailing list.
--Membership (Kathleen Lovejoy): No report. Laurie Dietrich asked if there was anyone present not intending to renew. No, everyone present intends to renew membership.
--Events Committee (Cheryl Flashner): No report. Laurie Dietrich reminded everyone that there is a Gala scheduled for this time next year, so that committee should probably start thinking about plans. Question was raised: Do we really want to do it again, is there a better alternative? There is no Gala committee at the moment. Several options were discussed to be able to still have an event to Honor actors, but without incurring quite as much expense. Possibly not serving a full dinner, possibly just dessert, possibly holding the event at San Pedro Playhouse. Ruth Lown has volunteered to be on the committee to avoid legal issues as occurred at the last Gala.

d) Program Reports
--Joint Advertising (Laurie Dietrich): The current contract expires in December. Cost will go up a bit, from $58 to an estimated $62 per month. SATCO must commit to a minimum of 8" sold each month. Please start thinking about participating next year. We are losing one participant because they are not happy with the quantity of editorial content regarding theatre. Laurie also reported that there is a special section being planned for the Holiday. $65/inch, full color. Deadline is October 22. Contact Penny Swindal at 250-2504 if you are interested.
--Workshops/Classes (Les Steubing): Sydney Burnett is planning an Acting/Directing workshop to share her methods of using intuition and imagination. Possibly November 11. Chris Champlin and Ken Vexler are also making plans (separately) for workshops.
--Public Access TV Show (Frank Williams): No report

e) Project Reports
--Economic Impact (Latrelle Bright): Laurie reported for Latrelle that there has been a good rate of returns on the survey and that Latrelle will begin tabulation soon.

III. New Business

a) Introduce Kirsten Watkins - Collaborative Marketing Plan: Kirsten Watkins, a marketing professional and graduate student in the Goucher College Arts Administration program, will be conducting an arts marketing study of SATCO member theatres and creating a plan for marketing
collaboration that we hope to fund and implement in early 2002. Because the study and plan will fulfill her graduation requirements at Goucher, her services are available to SATCO at no charge - which makes this an excellent opportunity for us to obtain professional, targeted guidance on a subject near and dear to all our hearts - how best to get the live theatre message across to the San Antonio area public. IV. Old Business

a) Maria Ibarra Fund: Laurie Dietrich reported that the fund has not been established yet, so our donation cannot be made as of yet. Jump Start is hosting a benefit at which time SATCO will present the check.
b) TNT membership follow-up: Laurie Dietrich reported that SATCO is now officially a member of TNT.

V. Announcements

a) Judd Strader of STAGE in Bulverde has suffered a stroke. Condition is improving, has been moved into a rehabilitation setting. Cards, etc, may be sent to Health South Riosa, 9119 Cinnamon Hill Rm #111W (for now), San Antonio, TX.

b) Harlequin has returned to near normal operations. Reservations must be made 24 hours in advance so that the guard will have names on the list. If you are on the list, you will be allowed in.

c) Shoestring opened Comedy of Errors.

d) October 17 Barnes and Noble presentation. Larsenous Players will present an excerpt from Ghost in the Sanctuary. Act II is still open. Contact Marcia Larsen (271-7791) if you would like to be put on the schedule to perform.

e) San Pedro Playhouse has opened Chorus Line. The opening of Death of a Salesman has been moved to November 9. Auditions for Babes in Toyland are being held tonight and tomorrow night (October 8 and 9)

f) Three judges are still needed for the upcoming Speech Arts event. Please contact Marcia Larsen at Alamo Street Theatre (271-7791) if you would like to volunteer.

g) The Bexar County Women's Bar Association and Foundation is holding it's annual brunch honoring women judges in Texas this month. Traditionally, at this event, they also raise money for local charities through a silent auction, a live auction, and a raffle.

SATCO is providing a package of tickets to some of our member theatres as a silent auction item. We are asking member theatres to donate two tickets to either an upcoming production or and "open pass" for two admissions to anything during the remainder of this season.

II. Continuing Business
a. Financial Report (Marcie Larsen):  The balance in the bank is $4820.45 prior to the new memberships received at the meeting. $560 is still the scholarship fund balance and the Maria Ibarra check was finally deposited.

b. Communications
--E-Auditions (Ayn Phillips): Now have over 500 members! Would like to see all the theatres mention SATCO and the E-Services in their programs.

--Website (Diana Brown): No report. Any questions, suggestions?

--Playbill (Diana Brown): No report. Any questions, suggestions? Put each theatres SATCO discount on the Playbill. Diana will request information from theatres through the SATCO PLM e-mail list.

--Hotline (Laurie Dietrich): No less expensive alternative has been found. Laurie has been donating the cost of the Hotline, but will begin billing SATCO for reimbursement next year. Discussion was tabled to committee. Committee decided to install a new phone line into someone's home, connect to Call Notes and Caller ID and monitor activity for a few months to help determine whether or not to discontinue the service. Diana Brown volunteered.

--Callboard (Kathleen Lovejoy): The first E-Edition of Callboard was delivered in September. Kathleen will begin working on the Second issue after Wise Man opens. To be delivered in December. She has been having a problem converting to hard copy for delivering to non-computer members. Question was asked what is the deadline for submission? November 31.

--Brochures: The tri-fold Brochures are all gone. Ayn Phillips suggested e-mailing to all of the hotels informing the concierge's where to find information regarding events.  She will begin compiling a list.

c. Committees
--Strategic Planning (Frank Williams): No report.

--Grants Committee (General Discussion): Marty Kushner and Diane Malone attended the Texas Commission for the Arts open forum discussing Grants. He reported that there is little likelihood that we would be able to obtain a grant to use for scholarship. He suggested we apply for a mini-grant, which are available throughout the year, possibly in collaboration with the Continuing Education committee to bring in speakers from out of town (greater perceived value). Such a grant would likely require that we match the granted funds through admission sales. Diane and Marty will write a proposal to present to the membership.

Marty mentioned the State of the Art license plate (www.arts.state.tx.us). $20 of the $25 cost goes to arts and thereby increases available Grant money.

When the Collaborative Marketing Study project is done (www.satheatre.com/survey.htm) we will approach the grant committee for funds to implement findings.

--Scholarship (Marcie Larsen): Amy Rabold has been contacted to give report. There has been no response from Amy.

Judges are needed now for the Speech Arts on January 5th. Contact Marcia Larsen at 271-7791.

Tech Scholarship: Ken Frazier had some concerns with the last draft of the guidelines. Rick Malone has rewritten and will e-mail revisions.

--Membership (Kathleen Lovejoy): Renewals went out. Discussed allowing members to pay throughout year and having their membership start on their pay date and continue for one year. General consensus was that the bookkeeping headaches preclude this. Also, Ruth Lown stated that the bylaws are written that membership is from January 1 through December 31. The Committee will meet to straighten out the policy.

--Events Committee (Cheryl Flashner): No report. Marty Kushner suggested combining ATAC event and Living Legends Gala. This has been discussed before. Committee will look into Gala options, possibly no dinner. Ruth Lown, Ayn Phillips and Sydney Burnet volunteered to be on the committee to discuss alternatives. Sterling Houston clarified that this is not a performance award, but a Life Time Community involvement honor.

d. Program Reports
--Joint Advertising (Laurie Dietrich): Contract is good through January (final ad in January). Costs will increase next year.

--Workshops/Classes (Les Steubing): Next Workshop is Saturday, November 17 at Incarnate Word Cheever auditorium by Sydney Burnett. See www.e-auditions.nethop.com for details. Ken Frazier has volunteered an "How To Audition" workshop. Marty Kushner suggested doing the Audition workshop prior to our City Wide Auditions. It was also suggested that several Audition workshops be held throughout the year to benefit individual theatre auditions as well as the City Wide Audition.

e. Project Reports
--Economic Impact: Laurie Dietrich reported that most of the surveys have been returned. Not 100% participation, but pretty close. Latrelle Bright will tabulate and should have results mailed to the Producer Level Members before the end of the year.

III. New Business

a. Consideration of Chamber of Commerce membership. $350/year with a one-time $25 membership processing fee. Discussion tabled until January meeting
b. Response to the e-mail announcing the creation of a Producer Level Only meeting was small, but the agreed upon date and was noon, November 15, Stoli has volunteered the use of his space. After the meeting, Laurie Dietrich will send the minutes to all Producer Level Members.

IV. Old Business
a. Barnes and Noble Wednesday event on November 14. The next event will be December 19th. Participants are needed. Please contact Marcia Larsen at 271-7791.

c. The membership present wished to acknowledge the passing of Felipe Santander, a one-time SATCO member and the force behind the International Theatre Festival. Many of us knew and worked with Felipe and will feel his loss.
d. Diana Brown is working on the Lobby Poster. She will be sending a note to the SATCO Producer Level Members Yahoo group with instructions as to where to send the photographs to be included.
e. Joe Libby will be performing at Ingram Park Mall Saturday, November 17, at 10:00 a.m. Also announced "Santa Via Satellite: A spectacular multi-media magic show that follows Santa's incredible journey all the way from the North Pole direct to his magical arrival at your party. Call 737-1902 to schedule."
f. Beast on the Moon closes November 17.
g. Sydney Burnett's workshop Saturday, November 17.
h. Solar Survivors at San Antonio College closes November 17.
i. The secretary humbly requests that if you have anything you would like to be included in the announcements, that you bring something written. The announcements section of the meeting always seems to go so fast she can't keep up.
