SATCO Meeting Minutes Present: Laurie Dietrich, President Producer Members: Marcie Larsen, Alamo Street Theatre Individual Members: Kathleen Lovejoy, Actor, Newsletter, Membership I. Open Meeting: The meeting was called to order at 5:05pm. Minutes from the meeting on December 11, 2000 were approved without changes. II. Continuing Business: (A) Financial Report Marcie Larsen, Treasurer, reported that the SATCO financial situation is as follows: -Balance in Bank of America $2,047.49 (of these, $1,060.00 is designated for the Scholarship Fund and is restricted) -Producer Level Membership Fee $ 150.00 Total= $2,197.49 (B) Development Committee Report This subject was tabled due to no representative from the committee being present. (C) Steering Committee Report This subject was tabled as well. Laurie Dietrich feels that this should be part of the Development Committee. (D) Communications Report III. Old Business: (A) Shared Ad Program Report Laurie Dietrich reported that everything is ready to go for the first SATCO Shared Advertisement. It turns out that it will be less expensive than originally thought: needed are 8 minimum Producer Level Members at $55.00 a month. Not bad! The problem; some Producer Members have yet to pay for the space they've 'bought'. Laurie Dietrich will be emailing these theatres to inform them of the pay deadline, which she has determined to be a couple of days before the copy is due to the Express-News. So please, send those payments in! **Special Note** Ayn Phillips mentioned that if no notification has been made to her about Producer Level Members sending in their membership fee, which is $150.00 for one year, by February 1st, they will not be allowed to advertise in the E-Auditions until payment is made. (B) Economic Impact Project Report David Johnson reported that he would like to put together a survey for theatres to fill out, asking about their financial status and how they contribute to the community. He posed the question: Would theatres want to be anonymous about their finances? Most agreed that it should be at the theatres discretion has to whether or not to post their name on a survey. David also asked for advice as to what sort of questions should be asked on such a survey. Frank Williams has volunteered to help out. If you have any advice for David, please contact him at davidjohnson1@***. IV. New Business: (A) Committee Structure Laurie Dietrich typed up and passed out a list of SATCO committee positions. There are some vacancies. It was discussed that we should have a separate committee for grants. Bob Flaugher, Mellissa Marlowe, Chris Champlin, Marcie Larsen and Frank Williams volunteered to research this project. (B) Community Cast Party Report The next party is scheduled to be on January 28, 2001, but since no one has been able to work on this project due to the hectic holiday season, no plans have been made as to when or where it will take place. Therefore, Joe Libby has volunteered to bring it to fruition. Since his time of meeting the January 28th deadline is coming up quick, it may be postponed. We'll keep you updated. **Special Note** Marcie Larsen mentioned that Speech Arts of SA and SATCO are getting ready to judge for the arts competition, in which the winner will get the scholarship that SATCO offers. SATCO Meeting Minutes Present: Producer Members: Individual Members: Guests: I. Open Meeting: The meeting was called to order at 5:00pm. Minutes from the meeting on January 8, 2000 were approved without changes. ***Due to time commitments, Carol Sowa, our guest speaker from the BEST READ GUIDE, talked about her company. Carol Sowa is the office manager for the BEST READ GUIDE, now the largest tourist publication in San Antonio, with a circulation of one million yearly. They would like to extend a special offer to SATCO. This would consist of a special page/pages devoted exclusively to member theatres of SATCO. Advertising with them would include placement on their handy locator maps and website, plus the option of coupons on their coupon pages. A 1/4(?) page ad would cost $275.00 for each theatre. A 1/8 page ad would cost $137.50 for each theatre. They are a monthly publication that prints 2 different issues at a time. If SATCO were to consider this advertising choice, the next deadline attainable for us would be April 17 for the June/July issues. Nothing was agreed upon, but this option is open to us if needed. II. Continuing Business: (A) Financial Report Marcie Larsen, Treasurer, reported that the SATCO financial situation is as follows: Balance in Bank of America $4,600.00 (of these, $1,060.00 is designated for the Scholarship Fund and is restricted) Joint Advertising Received $ 880.00 New Ind. Membership Fee $ 50.00 received Total of unrestricted funds= $2,205.00 (B) Communications Report E-Auditions, Since our representative was not present, this subject was tabled. Hotline, Frank Williams and Robert Flaugher are looking into less expensive options. Frank suggested getting an 800 number, but Rick Malone pointed out that the subscriber gets charged per minute when the number is being called. Frank also suggested the possibility of getting the number into such community magazines as Rio, Rio and Guest Informant, which are distributed to hotels. More on this subject at the next meeting. Newsletter, Kathleen Lovejoy reported that the next deadline for submissions is at the March 12th SATCO meeting. No other reports were made. Flyer, Cheryl Ashner, an ad designer, has been doing some research into getting us a better looking flyer. So far, the price quotes she has received are as follows: To print 5,000 flyers on plain white paper would cost $658.00 color paper would cost $758.00 To print 7,500 flyers on plain white paper would cost $860.00 color paper would cost $990.00 To print 10,000 flyers on plain white paper would cost $1,048.00 color paper would cost $1,200.00 Cheryl also suggested putting the flyers in travel agencies. If anyone has any suggestions concerning the design of the flyer, please contact Cheryl Ashner by email at chernval@***. Kathleen Lovejoy also mentioned that if theatre producers wish to advertise in the flyer, their dues and copy must be in by March 1. Website, Bob Flaugher reported that he will update the website as soon as the SATCO members list is updated. (C) Committee Reports Development, No representative was present for this discussion. Events, Joe Libby gave a report on the Community Cast Party. It was scheduled for Sunday, Feb. 18 at the Barbed Wire Grill from 5-8pm. I hope everything went well. Sorry for the late notice, but it has been advertised in the E-Auditions and the Playbill. Hope you were able to attend. Scholarship, Marcie Larsen reported that the committee will be looking for grants to make the scholarships that are offered bigger and worth more, money-wise. PR, Sterling Houston commented on how good the first joint ad campaign looked in the first Friday Weekender in the Express-News. Hopefully, this will continue. Chris Champlin did suggest, though, that the phone numbers be placed at the bottom of the ads. Membership, Kathleen Lovejoy reported that we have 52 Individual Level Members and only 7 Producer Level Members. If you would like to benefit from the services SATCO offers, you must submit the producer level fee of only $150.00. Contact Kathleen Lovejoy at boat44@*** for further details. Grants, Robert Flaugher, Chris Champlin and Mellissa Marlowe (not present), discussed areas of interest for grants at the grants meeting that took place on Feb. 9. Marcie Larsen found a place, but it needs to be cleaned up. It also needs a few office items, such as a/c, a desk, chairs and light. David Johnson has a computer to donate - thank you. Grants that are going to be considered are (1) workshops, (2) scholarships, (3) media communications, and (4) strategic plan development. The next grant committee meeting will be Wednesday, Feb. 28 from 3-4pm at Alamo Street Theatre. (D) Program Reports City-Wide Auditions, No Representative was present for discussion. Workshops/Classes, Les Steubing reported that Ken Frazier from the Vexler Theatre has agreed to Sunday, March 11 for the first workshop. Suggestions for subject matter are needed. Question as to whether or not to charge a nominal fee. For suggestions please contact Les Steubing at racttwo@***. (E) Project Reports Economic Impact, David Johnson announced that he has set up a meeting place for anyone that is interested. Please go to the Central Library on Wednesday, Feb. 21 at about 5pm. Their original offer of a SATCO page still stands, if enough theatres are interested, and they can offer individual theatres a reduced rate of $325.00/month per quarter-page ad with a minimum 2-month commitment. New Business: (A) Public Access Advertising Ruth Lown, SATCO's legal adviser, reported that, due to Time Warner Cable's contract, as it stands, we cannot do commercial advertisements. What needs to be discussed is if running excerpts from local plays would constitute commercial advertisement. The subject of copyright infringement if we run excerpts form copyrighted shows is an issue that will have to be dealt with on a show-to-show basis. Frank Williams and Chris Champlin will be delving more into this. (B) Nomination Committee Laurie Dietrich announced that a nominating committee needs to be formed in order to vote on committee chairpeople, especially President of SATCO, since Laurie will be stepping down after this year. This will be discussed at a further date. (C) ATAC Diane Malone, ATAC/SATCO Liaison, has reported that the ATAC Board has chosen September 30, 2001 as the next Globe Awards Ceremony. It will, again, be at the Doubletree Hotel and will have the same format as last year, having more than one person/company being recognized in a single category. V. (B) Events Cheryl Flashner reported that it still is possible to have the next SATCO Community Cast Party at the JCC. The restrictions would be that the food would have to be kosher and cooked on a grill. Cheryl also reported that Jo Grabow would be willing to have it at her personal residence. Sunday, July 22, in the evening, is a possible time. This will be discuss at a later date. (C) Fundraising Guest speaker Amy Rabold introduced herself. She has been involved with fundraising at her children's schools. These are some of her ideas: silent auction, possibly in conjunction with the premiere of the Gilbert and Sullivan Group, being created by Diane Malone and Joe Libby - a masked gala - craft sales - a fall theatre showcase. Lorenzo Martinez suggested a casino party. Amy's fees would be $75 up-front and 10% of the profits. Marcie Larsen suggested waiting on deciding what kind of fundraiser to do until we decide what the money will be used for. She would like to use it for scholarships. The Events and Scholarship Committees will meet to further discuss the prospect of holding a fundraiser to benefit the Scholarship Fund and of having Amy put it together. IV. Old Business: (A) SATCO Guide Cheryl Flashner reported that the latest updating of our brochure on theatre in SA is printed and ready for distribution. We need people to help distribute them to hotels, the Convention & Visitors Bureau, and to member theatres. Contact Laurie Dietrich at shoebard@*** if you can help. (B) E-Services Laurie Dietrich suggested that we might be able to get an underwriter for a mass printing of program inserts or printing and preparation of posters for the lobbies of theatres mentioning the SATCO website and e-services so that it wouldn't be the responsibility of each individual theatre. Old Business: (A) SATCO Guide Need to begin distribution of brochures. Cheryl Flashner reported that copies were mailed to the Tourist Bureau. Amy Rabold, Ayn Phillips, and Chris Champlin volunteered to deliver in person. (B) E-Services Please put us in your programs. Chris Champlin mentioned that the Harlequin dedicates a page in all of their programs to a list of the other theatres in San Antonio. This is a show of solidarity, and it would be nice if all other SATCO theatres would do the same. V. Announcements: Laurie Dietrich proposed a fund to help Dan McLaughlin's family with the funeral costs, etc. She also proposed a fund to assist working actors in the community with financial needs such as medical costs. She mentioned Maria Ibarra who is battling cancer. She and her husband are trying to raise their child and make a living by acting in San Antonio. The Membership would propose and discuss recipients. He will organize goals and submit to SATCO. Lawrence Coop and Sherry Truitt volunteered to work on Grant Committee. Need a chairperson. Have Express News been sponsors? Don't want to give money, but willing to give free ads. Amy Rabold volunteered to be chairperson. Diane Malone will make request of Express News. Laurie Dietrich to discuss with Sterling Houston last year's procedure. d) Program Reports 1) City Wide Auditions: Ten theatres sent representatives. 50 people auditioned. Everything went smoothly, flowed nicely. Thank you to Annie Edwards for organization. Suggestions for small improvements were received. Annie to organize again next year. Marcia Larsen volunteered the use of Alamo Street Theatre for next year's event. e) Project Reports - Economic Impact: Survey is in the field and should be back soon. Latrelle Bright to crunch the numbers and get us a report. f) ATAC Liaison Report: Gala September 30. Deadline for reservations is September 25th. Tickets $28.00 each , or table of ten for $250. To be held at the Double Tree North, Cocktails 5:30, Dinner 6:15. III. New Business: a) TNT: Patty Loftis not present. Marcia Larsen moved to join. Ayn Phillips seconded. Marcia will send $40 for Group membership. We qualify and are able to take advantage of many services TNT Provides. Di Ann Sneed, Vice President of her Quad, reported that theatre members are not as active as we would like. S.T.A.G.E. very active, San Pedro Playhouse is hosting play fest this year. IV. Old Business: a) E-Services: Theatres will be getting e-mail regarding Lobby Posters. Will identify theatre as SATCO member, and include website information, list of other member theatres, small display with business cards. Free to theaters. Robin Early has donated frames. Laurie reported that most theatres expressed interest / would display. Witte can't, no area for display. Harlequin and Vexler will. b) Theatre at Barnes and Noble: Marcia Larsen maintains the calendar. Please contact her to schedule the date for your theatre to perform. Upcoming Dates are September 12, 2001, October 17, 2001, November 14, 2001, and December 19, 2001. There was some discussion of the fact that rights agreements will generally not cover the performance of copyrighted pieces for this program. SATCO will have an indemnity agreement drawn up to protect itself from any issues arising if a participating theatre fails to secure the necessary rights. c) Compassionate Funds: President Laurie Dietrich announced that a donation of $250 was made by SATCO to the Magik Theatre to assist them with expenses accrued due to the passing of Dan McLaughlin. A Thank You note from Richard Rosen was circulated. Mellissa Marlowe reported that the fund for Maria Ibarra has not yet been established, as there are legal complications. Investigation of how best to establish the fund so that the proper parties benefit is ongoing. d) Brochure Distribution: Ayn Phillips and Marty Kushner will attend the Concierge Association meeting on the 29th of August to distribute our SATCO Guide brochures. Chris Champlin has distributed them to B&Bs and Ken Frazier has covered the hotels on the North side of town. We still need volunteers to distribute to the downtown hotels, and we continue to urge our member theatres to display them and take them to local merchants or organizations they feel would be supportive. V. Announcements: a) Di Ann Sneed announced that Sarita Bradley is recovering from surgery and people can send cards or wishes to her in care of the San Pedro Playhouse. b) Chris Champlin announced BUS STOP (opening August 22) and SEE HOW THEY RUN (Auditions to be held August 20, to open October 3) c) Laurie Dietrich announced upcoming SSC auditions, info on website (http://www.shoestring.nethop.com/) d) Introduction by new members Marty & Ricki Kushner. New Business a) Introduce Kirsten Watkins - Collaborative Marketing Plan: Kirsten Watkins, a marketing professional and graduate student in the Goucher College Arts Administration program, will be conducting an arts marketing study of SATCO member theatres and creating a plan for marketing b) The new committee was discussed. Old Business a) Maria Ibarra Fund: Laurie Dietrich reported that the fund has not been established yet, so our donation cannot be made as of yet. Jump Start is hosting a benefit at which time SATCO will present the check. V. Announcements a) Judd Strader of STAGE in Bulverde has suffered a stroke. Condition is improving, has been moved into a rehabilitation setting. Cards, etc, may be sent to Health South Riosa, 9119 Cinnamon Hill Rm #111W (for now), San Antonio, TX. b) Harlequin has returned to near normal operations. Reservations must be made 24 hours in advance so that the guard will have names on the list. If you are on the list, you will be allowed in. c) Shoestring opened Comedy of Errors. d) October 17 Barnes and Noble presentation. Larsenous Players will present an excerpt from Ghost in the Sanctuary. Act II is still open. The opening of Death of a Salesman has been moved to November 9. Auditions for Babes in Toyland are being held tonight and tomorrow night (October 8 and 9) f) Three judges are still needed for the upcoming Speech Arts event. Please contact Marcia Larsen at Alamo Street Theatre (271-7791) if you would like to volunteer. g) The Bexar County Women's Bar Association and Foundation is holding it's annual brunch honoring women judges in Texas this month. Traditionally, at this event, they also raise money for local charities through a silent auction, a live auction, and a raffle. SATCO is providing a package of tickets to some of our member theatres as a silent auction item. We are asking member theatres to donate two tickets to either an upcoming production or and "open pass" for two admissions to anything during the remainder of this season. Communications --Website (Diana Brown): No report. Any questions, suggestions? --Playbill (Diana Brown): No report. Any questions, suggestions? Put each theatres SATCO discount on the Playbill. Diana will request information from theatres through the SATCO PLM e-mail list. --Hotline (Laurie Dietrich): No less expensive alternative has been found. Laurie has been donating the cost of the Hotline, but will begin billing SATCO for reimbursement next year. Discussion was tabled to committee. Committee decided to install a new phone line into someone's home, connect to Call Notes and Caller ID and monitor activity for a few months to help determine whether or not to discontinue the service. Diana Brown volunteered. --Callboard (Kathleen Lovejoy): The first E-Edition of Callboard was delivered in September. Kathleen will begin working on the Second issue after Wise Man opens. To be delivered in December. She has been having a problem converting to hard copy for delivering to non-computer members. Question was asked what is the deadline for submission? November 31. --Brochures: The tri-fold Brochures are all gone. Ayn Phillips suggested e-mailing to all of the hotels informing the concierge's where to find information regarding events. She will begin compiling a list. c. Committees --Grants Committee (General Discussion): Marty Kushner and Diane Malone attended the Texas Commission for the Arts open forum discussing Grants. He reported that there is little likelihood that we would be able to obtain a grant to use for scholarship. He suggested we apply for a mini-grant, which are available throughout the year, possibly in collaboration with the Continuing Education committee to bring in speakers from out of town (greater perceived value). Such a grant would likely require that we match the granted funds through admission sales. Diane and Marty will write a proposal to present to the membership. Marty mentioned the State of the Art license plate (www.arts.state.tx.us). $20 of the $25 cost goes to arts and thereby increases available Grant money. When the Collaborative Marketing Study project is done (www.satheatre.com/survey.htm) we will approach the grant committee for funds to implement findings. --Scholarship (Marcie Larsen): Amy Rabold has been contacted to give report. There has been no response from Amy. Judges are needed now for the Speech Arts on January 5th. Contact Marcia Larsen at 271-7791. Tech Scholarship: Ken Frazier had some concerns with the last draft of the guidelines. Rick Malone has rewritten and will e-mail revisions. --Membership (Kathleen Lovejoy): Renewals went out. Discussed allowing members to pay throughout year and having their membership start on their pay date and continue for one year. General consensus was that the bookkeeping headaches preclude this. Also, Ruth Lown stated that the bylaws are written that membership is from January 1 through December 31. The Committee will meet to straighten out the policy. --Events Committee (Cheryl Flashner): No report. Marty Kushner suggested combining ATAC event and Living Legends Gala. This has been discussed before. Committee will look into Gala options, possibly no dinner. Ruth Lown, Ayn Phillips and Sydney Burnet volunteered to be on the committee to discuss alternatives. Sterling Houston clarified that this is not a performance award, but a Life Time Community involvement honor. d. Program Reports --Workshops/Classes (Les Steubing): Next Workshop is Saturday, November 17 at Incarnate Word Cheever auditorium by Sydney Burnett. See www.e-auditions.nethop.com for details. Ken Frazier has volunteered an "How To Audition" workshop. Marty Kushner suggested doing the Audition workshop prior to our City Wide Auditions. It was also suggested that several Audition workshops be held throughout the year to benefit individual theatre auditions as well as the City Wide Audition. e. Project Reports III. New Business a.
